What’s the plan if your office suddenly becomes unusable? Where would staff get their work done during the time spent remedying electrical units, repairing damage following a natural disaster, or during a week-long political protest that prevents anyone from accessing the building?

Each company has a number of ‘must-have’ tools in order to serve its clients – central IT systems, software, hardware, face-to-face contact. Perhaps your company won’t take much of a hit if employees spend a day working from home, if, 24 hours later, they can come together to work from a back-up office. Or, perhaps your business will suffer if the software engineering team doesn’t have immediate access to a new workspace, with the tools and tech in place for them to hit the ground running with no loss of time?

Another thing to consider is that unpredictable events are, of course, unpredictable. Forward-planning, drill testing and detailed Disaster Recovery Plans are your best bet for minimising disruption. But what if, when disaster strikes, it impacts operations more than you’d bargained for? What if a hurricane lasts longer than forecast? What if you underestimate the number of staff members you’ll need to relocate to keep the show running?

As a part of its Workplace Recovery Solutions, Regus offers three types of back-up office space at 3,000 locations worldwide.

  • The Dynamic solution offers teams a new office, ready and waiting for them either the same day or the next business day, with appropriate workspace based on the incident.
  • The Reserve solution guarantees that back-up Regus workspace is permanently available to critical team members immediately, 24/7.
  • The newest offering is Rapid, a more ad-hoc solution that lets clients use back-up office space on an on–demand basis (think ‘pay-as-you-go’).

Perhaps your Disaster Recovery Plan says employees should work from home until their office space can be used again. But staff tolerance of homeworking during disruption has been shown to decrease over time. If the effects of a disaster last for longer than expected, business leaders might want to gather staff in a professional office environment to keep up momentum. In this case, Regus’s Rapid solution would be the best answer to securing such a workspace.

Or, let’s say a disruptive incident affects the entire city. At times like this, the back-up workspace in your Disaster Recovery Plan may be oversubscribed – or it too could become inaccessible due to the incident – and business leaders might have to look elsewhere. With the Regus Rapid Recovery solution, emergency office space can be guaranteed.

Finally, perhaps a CEO makes plans to relocate a certain number of staff to a back-up office during a crisis – say, senior management. But when disaster strikes, they may realise they actually also need their technical team to continue working in an office set-up, too. Rapid lets companies supplement their current recovery plan so that additional staff can be reallocated office space – not just the people in your Disaster Recovery Plan.

The new Rapid recovery solution from Regus considers that, as much as we can predict the effects of a disaster, and plan how to recover accordingly, it’s impossible to cover every single base. It’s important that Disaster Recovery Solutions are also as flexible as possible, expecting the expected, and prepared to proactively support clients, come what may.
